The Highland Property Group network and its related bodies corporate (including but not limited to HPA Cronulla Sales Pty Ltd, HPA Sutherland Sales Pty Ltd, Highland Double Bay Sales Pty Ltd, HPG No. 5 Pty Ltd, Highland Newtown Sales Pty Ltd, Glow Media Pty Ltd, Highland Financial Services Pty Ltd and Cover Guard Insurance Pty Ltd, associated agents and brokers (together, Highland, we or us)) collect and handle your personal information in accordance with our Privacy Policy. If you provide us with your details, we may contact you about our property listings, promotions, and related products and services. We may utilise your personal information within Highland and share it with our authorised representatives and service providers who assist us in achieving the purposes for which we collected your data. Some of our service providers may have servers located in countries such as the USA, Europe, the Philippines, and Japan, and you consent to these international disclosures. If we do not have your information, we might be unable to offer you certain services, and you could miss out on valuable updates from us. We do not collect sensitive information unless you provide it to us voluntarily. You have the right to access the personal information we hold about you and request corrections. 1. Introduction

Highland Property Group and its related entities, together with associated agents and contractors collectively, Highland respect your privacy and are committed to protecting your personal information. We handle personal information in accordance with the Privacy Act 1988 (Cth), including the Australian Privacy Principles (APPs), and (where relevant to credit broking/finance activities) the Privacy (Credit Reporting) Code 2014.

This Privacy Policy explains how we collect, hold, use and disclose your personal information, how you can access and correct it, and how to make a complaint. We may update this Policy from time to time and will publish the revised version on our website.

2. What personal information we collect

The personal information we collect about you may include:

  • Identification and contact details (name, postal and street address, email, phone).
  • Demographic and professional details (age or date of birth, profession/occupation, and information you choose to provide via our website, forms, surveys, or during interactions with our team).
  • Property and transaction details (interests or preferences in properties, tenancy and leasing information, vendor/landlord/purchaser/tenant details).
  • Payment and verification information (payment details, identity verification information).
  • Credit‑related information where relevant to finance or insurance products we arrange (e.g., credit liability information, repayment history information, the type and amount of finance applied for, court proceedings, insolvency information and creditworthiness).
  • Sensitive information (e.g., health information, racial or ethnic origin, sexual orientation, religious or philosophical beliefs, political opinions or membership/affiliation information) only if you voluntarily provide it or otherwise consent; if collected, we handle it as personal information under this Policy.

You can choose not to provide some information; however, if you do, we may be unable to provide some services, or you may miss important updates.

3. How we collect personal information

Where possible, we collect personal information directly from you, including when you:

  • Engage with us on our websites or social media, attend property inspections or visit our offices.
  • Enquire about, request, or use our products and services (e.g., sales, leasing, property management, finance, insurance).
  • Subscribe to our updates, publications or newsletters or participate in surveys or events.
  • Communicate preferences, feedback, or other information to us online, by phone or in person.

We may also collect information from third parties (e.g., your representatives, reputable data sources, publicly available sources, credit reporting bodies, service providers who provide marketing leads or conduct surveys on our behalf). We require those providers to collect and disclose information in accordance with privacy law. We may combine such information with information we already hold to better understand trends, attributes, behaviours and preferences

4. Purposes for which we collect, use and disclose personal information

We collect, hold, use and disclose personal information so we can perform our functions and provide you with the best possible service, including to:

  • Provide and administer our products and services: market properties for vendors and landlords; facilitate transactions for sales and leasing; verify identity; conduct credit checks; process payments; and, where relevant, arrange finance or mortgage insurance and manage that finance.
  • Respond to enquiries, provide customer support and manage relationships.
  • Plan, deliver and improve communications (newsletters, publications, property alerts), marketing and events; and provide information about services that may be of interest. You can opt‑out at any time
  • Operate, maintain and improve our websites and digital services, including analytics and audience insights.
  • Manage recruitment, employment and contractor relationships.
  • Comply with our legal obligations and for other purposes disclosed at the time of collection or otherwise permitted or required by law.
  • Arrange insurance quotes via 123 Highland Insurance Pty Ltd as trustee for 123 Highland Insurance Unit Trust (ABN 36 971 739 761) and undertake other related financial services through Highland Financial Services Pty Ltd (ABN 26 168 940 869), where applicable.

We do not sell or monetise your personal information.

5. Storage of Personal Information in Our Systems

Highland stores personal information in a range of secure internal systems, including customer relationship management (CRM) platforms, property management systems, marketing databases, finance and insurance systems, and other operational tools used across the Highland Property Group network. These systems enable us to manage client relationships, property transactions, marketing communications, financial services, and other core business functions.

Personal information held in these systems may be stored in both cloud‑based and on‑premises environments and may be accessed by authorised Highland personnel only for legitimate business purposes. All systems are protected by access controls, authentication measures, audit logging, and other safeguards designed to prevent unauthorised access, alteration, disclosure or misuse. We also require our technology providers to maintain strong security standards and comply with applicable privacy and data‑protection obligations.

Where our CRM or operational systems use cloud infrastructure located outside Australia, the overseas disclosures described in this Policy apply. Personal information stored in our systems is retained only for as long as reasonably necessary for our business activities or to meet legal obligations, after which it is securely deleted or de‑identified.

6. Cookies, analytics and online tracking

We use cookies and similar technologies (e.g., web beacons, pixels, device identifiers and server logs) to recognise your browser or device, maintain and secure our websites, understand website performance, analyse traffic patterns, identify popular areas and improve user experience. These tools may collect information such as geolocation data, device IP address, pages accessed and referring sites. You can block cookies in your browser settings, though some features may not function optimally.

Some analytics or marketing tools we use may be provided by third parties, which may process data on servers outside Australia—see Section 8 (Overseas disclosures).

7. Disclosures to third parties

We may disclose personal information, as relevant to the purposes above, to:

  • Other parties to a real estate transaction (developers, vendors, landlords, purchasers, tenants) and their authorised representatives.
  • Your authorised representatives (e.g., lawyers, mortgage brokers, accountants, financial advisers).
  • Service providers, contractors and offshore consultants employed by Highland who assist us with marketing, data processing, IT, analytics, events, HR, customer surveys, finance/insurance, and property services—subject to appropriate confidentiality and security obligations and use only for authorised purposes.
  • Credit reporting bodies, lenders, financial institutions, insurers and valuers where relevant to finance or insurance services you request.
  • Regulatory and government agencies and law enforcement bodies in any jurisdiction where required or authorised by law.
  • 123 Highland Insurance Pty Ltd as trustee for 123 Highland Insurance Unit Trust to arrange an insurance quote; and Highland Financial Services Pty Ltd for financial services you request.
  • Highland acknowledges that you will click through to third party sites from our website and recommends that you refer to the privacy policies of the sites you visit. Highland assumes no responsibility for information and content of third-party sites.

8. Overseas disclosures

Some of our service providers store or process information on servers located in other countries, including the United States, Europe, Japan and the Philippines. By engaging with our services, you consent to these overseas disclosures. We require such providers to implement appropriate controls to safeguard your information in line with this Policy.

9. Security and retention

We implement technical, administrative, personnel and physical safeguards designed to protect personal information from loss, interference, unauthorised access, modification, disclosure and misuse. While we take reasonable steps to secure information, the internet is inherently insecure, and we cannot guarantee transmission security; information sent online is at your own risk. We retain information only for as long as required for our business needs and legal obligations, after which it is de‑identified or securely destroyed.

10. Accessing and correcting your information

You may request access to the personal information we hold about you and request corrections if you believe it is inaccurate, out‑of‑date, incomplete, irrelevant or misleading. We will respond within a reasonable period. If we refuse a correction, we will provide written reasons. 11. Direct marketing and your choices

We may send you direct marketing communications about properties, services and updates we think you’ll find useful. You can opt out at any time by using the unsubscribe link in emails or by contacting us via the details below. Even if you opt out of marketing, we may still send you non‑marketing communications (e.g., information we are legally required to provide or service notifications).

12. Credit‑related information (where applicable)

Where you apply for finance, we may collect, use and disclose credit‑related personal information to assess your application, verify identity, conduct credit checks, manage finance and comply with legal requirements. This may involve disclosure to credit reporting bodies, lenders, mortgage insurers and other intermediaries. Additional notices may be provided to you at the time of application.

13. Third‑party links and services

Our websites and materials may contain links to third‑party sites and services. Those sites have their own privacy practices. We are not responsible for the privacy practices or content of third‑party sites.

14. Children

Our services are intended for general audiences. If we become aware that we have collected personal information from a child without appropriate consent, we will take steps to delete it as required by law.

15. Changes to this Policy

We may update this Privacy Policy to reflect changes to our practices or legal requirements. The latest version will be available on our website and takes effect when published.
